Manager / Assistant Manager - Student Affairs Office (Career Services)

To assist in leading the Career Services unit in supporting students’ career development, employability outcomes, and employer engagement. This role includes supervising the team, overseeing the planning and execution of career-related programs and services, managing strategic industry partnerships, and contributing to continuous improvement of the department’s operations and services.

Role and Key Responsibilities

Team Leadership & Operations

  • Lead, support, and supervise a team of Career Services staff in executing departmental initiatives and daily operations.
  • Plan and oversee the annual calendar of career activities, ensuring timely delivery of career counselling, workshops, fairs, and employer engagement events.
  • Ensure proper documentation, reporting, and compliance with internal and external requirements (e.g., internship, employability, audits).

Career Development & Student Engagement

  • Provide advanced-level career guidance, job search coaching, and personalized advisory to students and graduates.
  • Oversee the design and delivery of student-facing career development programs from enrolment to graduation (e.g., CV writing, interview skills, professional branding, LinkedIn workshops).
  • Monitor student participation, feedback, and outcome tracking to improve service offerings and student employability.

Industry Collaboration & Employer Relations

  • Maintain and grow strong relationships with employers, industry bodies, and professional associations to expand internship and graduate job opportunities.
  • Coordinate internship placements and job matching efforts, while ensuring all parties fulfil program requirements.
  • Work closely with companies for MoU collaborations, guest speaker sessions, and co-curricular partnerships.

Strategic Input & Stakeholder Engagement

  • Contribute to planning and strategy discussions for the development of career services offerings and policies.
  • Represent the department in internal meetings, audits, accreditation exercises, graduate tracer studies, and cross-functional initiatives.
  • Provide feedback and data to support decision-making and reporting to senior management and regulatory bodies.

Digital Tools & Administration

  • Oversee the maintenance of career information systems and student databases.
  • Serve as administrator or reviewer for career-related content on learning platforms (e.g. Moodle) and career portals.
  • Support marketing efforts by reviewing communication content related to career events, employer outreach, and success stories.

Student Leadership & Volunteer Programs

  • Guide and oversee the Student Ambassador program for Career Services, providing mentorship and leadership training.
  • Organize ambassador involvement in career events and department initiatives to ensure seamless execution and peer engagement.

Alumni Relations & Graduate Employability Tracking

  • Develop and implement strategies to engage alumni in career services activities and employer networks.
  • Organize alumni involvement in career-related initiatives such as networking sessions, industry talks, and mentorship programs.
  • Manage and coordinate the Graduate Tracer Study process in accordance with internal and external reporting requirements.
  • Analyze tracer study data and generate reports to inform planning, program development, and institutional decision-making.

Other Responsibilities

  • Assist the Deputy Director of Student Affairs in strategic and operational planning for the Career Services unit.
  • Support broader university initiatives and events when required.
  • Any other duties as assigned by management to ensure the effective functioning of the Career Services department.

Requirements / Qualifications

  • Minimum Bachelor’s Degree in a relevant field (e.g. Business, Education, Psychology, HR, Communications).
  • Minimum 3 years of experience in career services, talent development, HR, or related fields.
  • Prior experience in a supervisory or team lead role is preferred.
  • Experience working in higher education or student-facing roles is an advantage.
  • Bilingual abilities (English and Mandarin) are preferred but not mandatory.
