Office Assistant - Operation & Maintenance Office
Role and Key Responsibilities
Manage O&M requisitions for the purchase of stocks and services.
Draft all proposal for maintenance purchase.
Sourcing vendors and getting quotations for comparison until it is evaluated and finalized.
Coordinate with the requestor on expediting and monitor on-time delivery of the goods or services.
Keeping track of and monitoring delivery of goods and services provides an update to the requester.
To ensure all the documents, reports, photos, and information are properly summarized and for payment.
Liaising with internal and external parties and working closely with Finance on payment preparation.
Assist with RFQ and tender document preparation.
Maintain records for the PR and invoice that refer to the future.
Arrange the appointment for MR & vendor site visit.
Clearly, answer maintenance hotline calls from students and staff
On call support for any emergency event.
Other duties assigned from time to time, ad hoc projects instructed by the senior officer and HOD
