Role and Key Responsibilities

  • Support the full lifecycle of research grants, including application submissions, eligibility checks, documentation, budget verification, monitoring approvals, milestones, reporting deadlines and compliance with funding guidelines.
  • Manage grant claims and reimbursements, track expenditures, and prepare financial reports for internal management and external agencies.
  • Experience in research ethics administration including coordination of ethics committee panels, institutional ethics procedures and liaison with national-level agencies for approval of human or animal research where required
  • Liaise with main campus (XMU, China), funding agencies, government ministries, industry partners and support collaborations through drafting and coordinating MoUs, MoAs and research agreements especially documents prepared in Chinese.
  • Maintain and report research data, including updating research information systems, preparing MyRA/SETARA reports and managing research databases.
  • Must be a quick learner and adaptable to new systems, particularly in the development and administration of research grant management systems including system testing, improvements, and training researchers on online submission and claim processes.
  • Perform day-to-day duties as assigned by the Assistant President and Senior Manager.

Requirements / Qualifications

  • Academic qualification: A Master’s degree in Science and Technology (S&T) or a related discipline.
  • Committed team player with excellent interpersonal skills, able to work independently in a fast-paced environment.
  • Meticulous, with a positive attitude, hardworking and able to deliver assignments within a given timeline.
  • Strong organisational skills, attention to detail and the ability to coordinate effectively with various departments and stakeholders.
  • Required skill(s): MS Office (Word, Excel, PowerPoint). Knowledge in Power BI and Canva is an advantage.
  • Good command of written and verbal Mandarin, English and Bahasa Malaysia.
  • Experience in drafting MoAs/MoUs, preparing academic and research proposals, familiarity with government grant systems and liaising with government agencies and private sectors.
  • Experience in research ethics administration, including coordination of ethics committee panels and institutional ethics procedures (national registration generally not required except for clinical trials or MOH-related research).
  • Experience in managing the development and implementation of research grant management and claim systems at the university level and coordinating research grant applications through systems at the ministry level.
  • Applicant must be willing to work in Bandar Sunsuria, 43900 Sepang, Selangor.
