Complete these four steps before the ceremony. Make sure your Tracer Study is completed beforehand — this is required to register.

Graduate Registration Details

You are required to register at the Registration Counters at XMUM, Block A3, Level 7 (Foyer in front of Academic Affairs Office) before the convocation ceremony.

Documents to bring:

  • Online Tracer Study confirmation slip
  • Identification Card or Passport

The registration counter opens the day before your session, 9:00am – 8:00pm, and again on the morning of your session. Please confirm the precise cut-off time for each of the 6 sessions this year with Academic Affairs.

Deposit & Robe Collection

A refundable deposit of RM150 is required for the graduation robe set, payable at Block A3, Level 7, Room #711 during registration. Robe collection is at Room #708.

Robe Return & Penalty

You must return the graduation robe no later than 3 days from your convocation session date. A penalty of RM20 per day applies for late return, deducted from your deposit.

01 How do I register for the convocation ceremony?
Before Convocation

Bring your IC/Passport for convocation registration.

Your registration process will begin at Counter 1 (Block A3, Level 7, Room #704). Please follow the designated registration flow and proceed to the subsequent counters as instructed.

02Can I attend if I have outstanding fees?

No. Graduates must settle all outstanding fees before attending. Contact the Finance Office at finance@xmu.edu.my for details.

B Graduate Tracer Study

03Is the Graduate Tracer Study compulsory?

Yes. It is mandatory for every graduate to complete the survey before convocation.

04What is the purpose of the Tracer Study?

The Ministry of Higher Education (MoHE) values your opinion and feedback for future planning and improving various aspects of our higher education system. Additionally, the university would like to know your opinion on the programme of study that you have completed, the facilities and services you have used while studying, the type of job you are doing, and how you fared in the working world.

05How long does the survey take?

Approximately 10-15 minutes.

06Will my responses be confidential?

Yes, your responses will be kept confidential. They will be summarised in the findings of the research report issued by MoHE.

07Where do I do the survey?

Log into graduan.mohe.gov.my. Select BM or English. Use your NRIC (local) or Passport (international) to log in, and enter Institution Name: Xiamen University Malaysia. Screenshot the slip once done.

08What if I encounter issues completing the survey?

Email graduate@xmu.edu.my with your IC/Passport No., Student ID, and Full Name.

C Graduation Robe

09Do I need to pay for the robe rental?

No rental fee. However, a refundable deposit of RM 150 is required upon returning the complete set in its original condition.

10How and when do I pay the RM 150 deposit?

Pay in cash or card at the Finance Office counter (Block A3, Level 7, Room #711) before collecting the robe.

11 When can I collect my graduation robe?

12Can I send a representative to collect/return my robe?

Yes. They must present an authorisation letter/email from you and the official "Invitation and Confirmation of Session" email.

13What are the sizes available for the robe?

Choose based on your height. Note: Exchange is not allowed after collection. A RM 50 charge applies if you exchange after putting it on.

14 When should I return the graduation robe?

Within three (3) days after your session at Block A3, Level 7, Room #708 (or #706 for late returns).

15Is there a penalty for late return?

Yes. A penalty of RM 20 per day will be deducted from your deposit if returned after the 3-day window.

16What if I return a damaged or missing item?

Charges will be deducted from your deposit:

  • Robe: RM 100
  • Mortar Board: RM 30
  • Hood: RM 20
17Can I return the robe via courier?

No. You must return the robe in person to the university.

18What do I need to collect & return the robe?

You must present the deposit receipt issued by the Finance Office. Returns without a receipt will not be entertained.

19Is there a deadline to claim the deposit refund?

Yes. The deposit must be claimed within thirty (30) days from the date of robe return. Unclaimed deposits after this period will be forfeited.

D Ceremony

20Where is the venue of the convocation ceremony?

The XMUM Auditorium, located next to Block A1.

21Where can I check my exact session date and time?

Check the official "Invitation and Confirmation of Session" email sent by XMUM (graduate@xmu.edu.my).

22Do I need to register on the day of the ceremony?

Yes. Report to the Attendance Confirmation Counters at the Auditorium Lobby on the day of the convocation.

23 What is the dress code during the ceremony?

The convocation ceremony is a formal occasion, and we kindly request all attendees to adhere strictly to the following dress code. Failure to comply may result in denial of entry to the hall. Please note the following guidelines:

Male Smart casual attire with a necktie, collared long-sleeved shirt, dark trousers or national costume.
Shoes: Closed toe, covered shoes are required.
Female Smart casual attire or long-sleeve shirt/blouse.

Note: Jeans, sweatpants, shorts, short skirts, T-shirts, slippers, casual shoes and sports shoes are strictly not allowed. This ruling shall include all invited guests.

Hair should be neatly combed and presentable at all times. The University reserves the right to refuse entry to graduates and guests who are deemed to be inappropriately dressed.

24Will there be any briefing for the ceremony?

Yes, a briefing will be provided in the hall on the day of the ceremony. Please attend the briefing according to your convocation session:

The briefing is essential to ensure that all graduates are well-informed about the proceedings and guidelines during the convocation ceremony. We kindly request all graduates to attend the briefing on time

25Where can I find the ceremony itinerary?

Refer to the event programme in your "Invitation and Confirmation of Session" email.

26 Can children attend the Ceremony?

Due to the formal nature of the convocation ceremony and the presence of several speeches, children below 12 years old are not allowed inside the auditorium during the ceremony. However, arrangements will be made for them to watch the live stream of the convocation ceremony at designated areas on the campus, ensuring they can still be part of the celebration.

27Are pets allowed on campus?

No. Pets are not allowed on campus during the convocation for safety and comfort.

28 When can parents/guests enter the auditorium hall?

Parents/guests wearing wristbands will be permitted to enter the auditorium hall according to the following schedule:

Seating will be on a first-come, first-served basis. Due to high turnout for the Convocation, we recommend that parents/guests arrive early and queue in advance, as some may need to be seated on additional chairs in the hallway.

29Can I change my session to match my friends?

No. Sessions are carefully scheduled and allocated. Changes are not permitted.

30Where can I park my car?

Basement car park of the Academic blocks (Block A1 – A5). Please park in designated lots only.

31Is food and beverages allowed inside the Auditorium?

No. Except for drinking water. Please have your meals prior to the ceremony.

32Is there refreshment provided?

No refreshments. However, graduates will receive a goodie bag after the session (wear your wristband to collect it).

33Will there be a photo session?

Yes, during the stage procession. Contact YS PHOTO STUDIO at 011-54088839 (WhatsApp) or click here. Guests must remain seated during the procession.

34Is there a florist booth for flowers?

No. There will be no florist or gift booths available on campus during the Convocation Ceremony. Guests are advised to purchase flowers or gifts in advance before arriving on campus.

You can collect your certificate and hardcover after the ceremony at the Academic Affairs Office, Block A3, Level 7, Room #702.

Yes. You can self-collect (email xmumac@xmu.edu.my to arrange) or request courier postage (postage fees apply).

37If I have outstanding fees, can I collect my certificate?

No. All outstanding fees must be settled first.

38Can a representative collect my certificate?

Yes. You may authorize a representative to collect your certificates on your behalf. Please download the Letter of Authorization from the link https://box.xmu.edu.my/share/b90003d9aa015749722f2d6a4d and ensure that your representative brings the completed hardcopy along with your identification documents to the Academic Affairs Office upon collection for verification.

F On-Campus Accommodation

39 May I and how do I apply for on-campus accommodation?

Yes. You may apply to stay at the International Academic Exchange Centre (IAEC) on campus.

The room rate is RM330 per night, inclusive of breakfast, for either a Twin-Bed Room or a King-Bed Room. Each room can accommodate a maximum of two (2) guests, and additional beds are not available.

Accommodation is subject to availability and offered on a first-come, first-served basis.

G Visa for International Students

40How can I enter Malaysia if my student pass expired?

You are required to apply for a social visit pass to enter Malaysia.
